Welcome to Bite Catering Services. We run bite-catering.co.uk and provide premium chilled meal delivery (including paellas, drinks, and desserts) across our local delivery area (Starcross through to Bishopsteignton, including nearby areas such as Dawlish and Teignmouth). This Privacy Policy explains what we collect, why we collect it, and the choices you have—clearly and without the legal waffle.

1. Who we are

Bite Catering Services (“we”, “us”, “our”) is the organisation responsible for the personal information collected via our website and customer communications. If anything here doesn’t make sense, please get in touch—we’re happy to help.

When you order, contact us, or browse our site, we may collect:

  • Identity & contact details: name, email address, and phone number (if you provide it).

  • Delivery details: address within our delivery area and any delivery notes (e.g., safe place, gate code).

  • Order details: what you ordered, delivery date/time window (including our Friday deliveries), and any messages you send us.

  • Payment details: payments are handled by secure third‑party payment providers. We receive confirmation of payment and basic transaction details (e.g., amount, time, reference). We do not store full card details on our servers.

  • Messages & support history: emails or messages you send us, and our replies.

  • Website/technical data: IP address, device/browser type, pages visited, and approximate location (based on IP).

  • Cookies, analytics & similar tech: we use cookies (and similar technologies) to make the site work, remember preferences and baskets, and understand how the site is used. Some cookies are strictly necessary; others (like analytics) help us improve the site. You can control cookies via your browser settings and, where available, our cookie choices on the site.

3. How we use your data

We use personal data to:

  • Fulfil your order (confirmations, receipts, preparing and packing your chilled meals).

  • Deliver your food safely and on time (route planning, delivery coordination, and contacting you if there’s a delivery issue).

  • Provide customer support and respond to queries.

  • Run and improve our business (site performance, analytics, troubleshooting, service improvement).

  • Send updates and marketing where you’ve opted in or where we otherwise have a lawful basis. You can opt out anytime.

4. Our lawful bases (UK GDPR)

We process personal data because it’s necessary:

  • to perform a contract (to take orders and deliver them),

  • to meet legal obligations (e.g., accounting/tax, food safety where applicable),

  • for legitimate interests (running and improving a local delivery service, preventing fraud, securing our systems), and/or

5. Who we share data with

We don’t sell your data. We only share what’s needed with:

  • Payment providers to take payment securely.

  • Delivery partners/personnel (for example, our drivers or delivery team) so they can complete delivery—typically your name, address, delivery notes, and contact number if needed.

  • IT and website providers who host or support our site and systems.
    If we ever need to share data in connection with a business restructure or sale, we’ll do so in line with data protection law.

6. Data retention

We keep personal information only as long as needed for the purposes above. In practice, this means:

  • Order and transaction records are typically kept for legal/accounting reasons for a set period.

  • Customer communications are kept long enough to handle queries and any follow-up.

  • Analytics/cookie data is kept for a limited period depending on the tool and your settings.
    Because our meals can be stored for up to five days in the fridge or three months in the freezer, we may keep relevant order details for a reasonable time to help with customer service and product queries—while still sticking to lawful retention periods.

7. Your rights under the UK GDPR

You have rights including:

  • Right of access (get a copy of your data).

  • Right to rectification (correct inaccurate/incomplete data).

  • Right to erasure (ask us to delete data, where applicable).

  • Right to restrict processing (limit how we use data in certain situations).

  • Right to object (especially to direct marketing, and in some cases to processing based on legitimate interests).

  • Right to withdraw consent (where we rely on consent).
    You also have the right to complain to the UK Information Commissioner’s Office (ICO). We’d appreciate the chance to sort it first, though.

We use appropriate technical and organisational measures to protect your information (access controls, reputable processors, and secure handling practices). No system is perfect, but we work hard to keep your data safe and review security regularly.
